Privacy Policy
About this page
This landing page is hosted by Media Track Ltd (company number 16249153, ICO registration ZB963026), 167-169 Great Portland Street, London, W1W 5PF, on behalf of Fairweather Group Ltd t/a claim.co.uk. Fairweather Group Ltd is the data controller for the information you submit on this page. Media Track Ltd acts as its data processor: it hosts this page, collects your enquiry through the form and passes it to claim.co.uk, and may only use your data on claim.co.uk's instructions. This site uses one short-lived session cookie to count visits, described in our Cookie Policy.
Calls to the phone number on this page are recorded. If nobody at claim.co.uk can answer, an automated AI phone receptionist may take the call. It is recorded too, and a written transcript of the call is kept. Recordings and transcripts are handled as set out below.
The privacy policy below is claim.co.uk's own privacy policy, which applies to your enquiry. It is also published at https://www.claim.co.uk/privacy-policy-2/.

2. The personal data we collect
We only collect the data we need to deal with your enquiry or claim. Which of these we hold depends on the type of claim and how far it goes.
| Type of data | What it includes |
|---|---|
| Identity | Name, title, date of birth |
| Contact | Telephone number, email address, postal address |
| Enquiry and claim | What happened, when and where, the type of claim, who the claim is for, and documents you send us |
| Financial | Details of finance agreements, bank accounts or debts, where relevant to a financial claim |
| Calls and messages | Recordings of phone calls, emails, texts and other messages with us |
| Technical | IP address, browser and device type, and how you arrived at our page (for example, the advert or partner site you came from) |
| Usage | How you use our websites and apps |
| Marketing preferences | Whether you have agreed to, or opted out of, marketing from us |
Health data and other special category data
For personal injury claims, we collect information about your injury and your health. The law treats this as special category data and gives it extra protection. We also record information about vulnerability (for example, a health condition or life event) where you tell us, so that we can support you properly. Section 4 explains the legal conditions we rely on.
Our online forms ask you to agree to us using your injury and health details before you submit them. If you leave a form before submitting it, we do not keep the answers you entered.
Claims made on someone else’s behalf
If you make an enquiry for your child, or for an adult who cannot manage their own affairs, we will hold their data as well as yours. You must have parental responsibility or legal authority to act for them. If you are enquiring about another adult who can manage their own affairs, please do not give us their health details. We will contact them directly.
If you do not give us your data
We need your name and contact details to deal with your enquiry. Without them we cannot check whether we can help you or introduce you to a law firm.
3. How we collect your data
From you. Most of the data we hold comes from you: when you fill in a form, call us, email us, message us or send us documents.
Landing pages hosted for us. Some of our forms are on landing pages built and hosted for us by Media Track Ltd, on the mediatrack.ai website. Media Track Ltd acts as our data processor. It hosts the page and passes your enquiry to us, and may only use your data on our instructions. Fairweather Group Ltd remains the data controller.
Marketing partners. We work with publishers and partners, such as Trending Now, who show our adverts or link to our pages. They do not receive the details you enter on our forms.
Automatically. When you use our websites, we collect technical and usage data using cookies and similar technologies. Our Cookie Policy explains these and how to control them.
From other organisations. Depending on the claim, we may receive data from:
- the law firm handling your claim, about its progress
- credit reference and identity check providers, through Valid8 IP Ltd, for car finance claims
- public sources such as Companies House and the electoral register
Where we receive your data from someone else, we will tell you where it came from when we first contact you, and within one month at the latest.
4. Why we use your data and our legal basis
The law only allows us to use your data where we have a legal basis. The table sets out each purpose and the basis we rely on for it.
| What we use your data for | Legal basis (UK GDPR Article 6) |
|---|---|
| Responding to your enquiry and checking whether we can help | Your consent, given on our form, and our legitimate interest in responding to people who ask for our help |
| Passing your details to the law firm we introduce you to | Your consent |
| Providing our claims management service once you sign up with us | Performance of our contract with you |
| Recording calls for quality, training, fraud prevention and regulatory evidence | Our legitimate interests, and our legal obligations as an FCA-regulated firm |
| Keeping records and dealing with the FCA, the Financial Ombudsman Service and the ICO | Legal obligation |
| Preventing and detecting fraud and money laundering | Legal obligation and our legitimate interests |
| Handling complaints and legal claims against us | Our legitimate interests and legal obligation |
| Sending you marketing about our other claims services | Your consent, or the soft opt-in for email and text (section 6) |
| Improving our websites and services, using analytics cookies | Your consent, through our cookie banner |
Health and other special category data (UK GDPR Article 9)
We use your health data only with your explicit consent, which you give on our form or on a recorded call. Once you instruct a law firm, the firm and we may also rely on the condition that the processing is necessary to establish, exercise or defend legal claims. You can withdraw your consent at any time (section 6). If you do, we will stop using your health data unless another legal condition applies.
Legitimate interests
Where we rely on legitimate interests, we have checked that our interests are not outweighed by your rights. You can ask us for details of that assessment, and you can object (section 8).
Automated decisions
We do not make decisions about you using only automated means that have a legal or similarly significant effect on you. A person reviews every enquiry before we decide whether we can help.
Training and system development
We may use call recordings and anonymised enquiry data to train our staff and improve our systems. We do not use photos or documents about your injury or health for training.
5. Who we share your data with
We never sell your personal data. We share it only where we need to in order to deal with your enquiry or claim, or where the law requires us to.
Law firms on our legal panel
If we can help with your claim, we will introduce you to one law firm on our panel. We will tell you the name of the firm before we pass your details to it. The firm becomes a separate data controller and its own privacy notice will apply.
Our current panel is listed on our Our Panel page. At the date of this policy it is:
- England and Wales: Bond Turner Limited, Bott & Co Solicitors, Charles Lyndon, Elmwood Law, Express Solicitors, Fletchers Solicitors, Prowse Phillips, Satchell Moran Solicitors Limited, TLW Solicitors LLP, Reed & Co Solicitors and Smith Jones Solicitors
- Scotland: Thompsons Solicitors Scotland, regulated by the Law Society of Scotland
Our service providers (data processors)
These companies act only on our instructions, under written contracts that require them to keep your data secure.

Other organisations
- Regulators: the Financial Conduct Authority, the Financial Ombudsman Service and the Information Commissioner’s Office, where they ask or the law requires.
- The other side of a financial claim: for example a lender, finance provider or car dealer, where we need information to progress a claim you have instructed us on.
- Fraud prevention and law enforcement: where the law requires or allows it.
- A buyer of our business: if we sell or merge our business, the new owner may use your data in line with this policy.
For car finance claims, you can read how credit reference agencies use your data in the Credit Reference Agency Information Notice: TransUnion, Equifax, Experian.
6. Contacting you, marketing and your consent
About your enquiry. When you submit a form and tick the consent box, you agree that we, and the law firm we introduce you to, can contact you about your enquiry by the methods named in that consent. We will only phone you about a claim if you have agreed to it, whether or not your number is registered with the Telephone Preference Service.
Marketing. We may send you information about other claims we can help with. We will only do this:
- by email or text, if you have agreed, or if you have used or enquired about our services, the message is about similar claims services of ours, and you were given a simple way to opt out when we collected your details and in every message since (the “soft opt-in”)
- by phone, only if you have specifically agreed to marketing calls
We do not pass your details to other companies for their marketing.
Withdrawing consent and opting out. You can withdraw your consent or stop marketing at any time, free of charge:
- click the unsubscribe link in any email
- reply STOP to any text
- email clientservices@claim.co.uk or call 0161 711 1555
Withdrawing consent does not affect anything we did before you withdrew it. If you withdraw consent to us using your health data, we may no longer be able to help with a personal injury claim. We will keep a record that you have opted out, so that we do not contact you again.
7. Transfers outside the UK, security and how long we keep data
Transfers outside the UK
Some providers, such as Amazon Web Services and Google, may process data outside the UK, including in the United States. Where that happens we use a safeguard recognised by UK law: a UK adequacy decision, the UK–US Data Bridge, the UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses. You can ask our Data Protection Officer which safeguard applies.
Security
We protect your data against loss and unauthorised access, use or disclosure. Only staff and providers who need your data can see it, and they must keep it confidential. If a breach is likely to put you at risk, we will tell you and the ICO as the law requires.
How long we keep your data
We keep your data only as long as we need it.
| Data | How long we keep it |
|---|---|
| Enquiries that do not go ahead, including where we cannot help | 12 months from the enquiry |
| Incomplete forms that are not submitted | Not kept |
| Claims you instruct us or a panel firm on | 6 years after the claim ends |
| Call recordings held by Media Track | Deleted 90 days after the call. The transcript, AI summary and caller number of that call are removed at the same time. Where a call has no recording, its transcript and call record are kept while the call record is held, and you can ask us to delete them. |
| Call recordings or records the firm makes or holds itself | Kept under the firm's own retention policy |
| Complaints | 6 years after the complaint is closed |
| Marketing opt-outs | For as long as we need to make sure we do not contact you |
After these periods we securely delete your data or anonymise it.
8. Your rights, complaints and changes to this policy
You have the following rights over your personal data. Some apply only in certain circumstances.
- Access: ask for a copy of the data we hold about you.
- Correction: ask us to correct data that is wrong or incomplete.
- Erasure: ask us to delete your data.
- Restriction: ask us to limit how we use your data.
- Portability: ask us to send data you gave us to you or to another organisation, in a common electronic format.
- Objection: object to us using your data on the basis of legitimate interests. You can always object to direct marketing.
- Withdraw consent: at any time, where we rely on consent (section 6).
- Automated decisions: not to be subject to decisions made only by automated means that significantly affect you.
To use any of these rights, contact our Data Protection Officer (section 1). It is free. We will reply within one month. For complex or multiple requests we may extend this by up to two further months, and we will tell you if we do. We only ask for proof of identity if we are not sure who you are, and we will tell you what we need. Where a right involves a law firm or other recipient we have shared your data with, we will pass your request on to them.
Complaints
If you are unhappy with how we have used your data, please contact our Data Protection Officer first. Our Complaints Policy explains how we handle complaints.
You can also complain to the Information Commissioner’s Office: Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF. Telephone 0303 123 1113, or ico.org.uk/make-a-complaint.
Changes to this policy
We will update this policy when the way we use your data changes, and show the date of the latest version at the top. Where a change materially affects you, we will tell you directly.
